Privacy Policy

This policy explains how CloudPrint handles personal data for our website, accounts, API, local agent and printing workflows.

1. Scope

This policy applies to visitors of cloudprint.me, CloudPrint account users, administrators, developers using the public API, support contacts and people operating the CloudPrint local agent.

CloudPrint is a business service and is not intended for children under 18. We do not knowingly collect personal data from children.

2. Controller

When CloudPrint processes print documents or print-job content on behalf of a customer, we generally act as a processor or service provider following the customer's instructions. The customer decides what is uploaded, printed and connected to their printers. Customer agreements and, where applicable, data processing terms govern that processor role.

3. Data we process

  • Account and business data: name, email, organization, role, language preference and account settings.
  • Authentication and security data: password hashes, session metadata, API client identifiers, token metadata, scopes, IP addresses, request IDs and audit events.
  • Billing data: plan, subscription, invoice, tax and payment status records. Payment providers may process card, bank or payment instrument data under their own terms.
  • Agent and printer data: local agent identifier, version, operating system, host diagnostics, printer names, queue status, capabilities and routing metadata needed to deliver print jobs.
  • Print workflow data: document metadata, print-job settings, printer selection, status, errors and the document content needed to complete or troubleshoot printing.
  • Website, API and support data: browser and device metadata, cookies or similar identifiers, pages visited, API usage, logs, messages and attachments sent to support.

We do not ask customers to upload special category data, criminal-offence data or other highly sensitive data. If a customer chooses to process such data through CloudPrint, the customer is responsible for having a valid legal basis, instructions and safeguards for that use.

4. Purposes and legal bases

5. Required data

Some data is required to create an account, authenticate users, connect local agents, route print jobs, provide support, issue invoices and comply with legal duties. If required data is not provided, CloudPrint may be unable to provide the relevant account, API, billing, support or printing function.

Marketing preferences and non-essential communications are optional. You can opt out of marketing messages without losing service notices that are necessary for CloudPrint operation, security or account administration.

6. Print documents and customer content

CloudPrint is designed to move documents from a customer's systems to the printers and agents selected by that customer. We use document content only to provide, secure, troubleshoot and support the printing service, or as otherwise required by law or customer agreement.

We do not sell print documents or use them for third-party advertising. Customer administrators control which documents are sent, which printers are connected and who can create print jobs in their account.

7. Sharing

We share personal data only where needed for CloudPrint or where required by law, including with:

  • hosting, storage, network, monitoring, email and support providers;
  • billing, payment, accounting, legal, tax, banking and insurance providers;
  • customer administrators and authorized users within the same CloudPrint account;
  • public authorities, courts or regulators where legally required;
  • successors if CloudPrint is involved in a merger, acquisition, financing, reorganization or sale of assets.

Service providers may process personal data only for specified purposes and under contractual duties designed to protect the data.

8. International transfers

CloudPrint is operated from Poland and may use service providers in other countries. Where personal data is transferred outside the European Economic Area, we use appropriate safeguards such as adequacy decisions, standard contractual clauses or comparable lawful transfer mechanisms.

9. Security

We use technical and organizational safeguards such as encrypted transport, access controls, separation of secrets, logging, limited administrative access and operational monitoring. Access is limited to people and providers with a business need to operate, secure or support CloudPrint.

No internet service can be guaranteed to be completely secure. Customers must keep their account credentials, API secrets, local agents and connected systems protected.

10. Retention

We keep personal data only for as long as reasonably needed for the purposes described in this policy, including service operation, security, support, accounting, tax, dispute resolution, contract enforcement and legal duties.

Print documents and print-job content are retained only for the time needed to provide printing, status tracking, troubleshooting, support and legally required records, unless a customer agreement says otherwise. Logs and diagnostics are deleted or anonymized when they are no longer needed for operational, security or legal purposes.

11. Your rights

Where GDPR or similar laws apply, you may have the right to access, correct, delete, restrict or receive a copy of your personal data, object to certain processing and withdraw consent where processing is based on consent.

We may need to verify your identity and may decline or limit requests where the law allows us to do so, for example to protect other people, comply with legal duties, preserve security records or handle excessive requests.

12. Cookies and similar technologies

We use necessary cookies and similar technologies to run the website, account area and security features. Where analytics or measurement tools are enabled, they are used to understand website and product usage and improve CloudPrint. You can control cookies through your browser settings.

13. Complaints

Please contact us first so we can address your concern. You may also lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (UODO), or with another competent data protection authority.

14. Changes

We may update this policy when CloudPrint, our providers or legal requirements change. The version published on this page is the current version.
